Your goal is to put on an awesome event, so you know you need help with some AV equipment. Beyond that, though, you scratch your head. What is it that you need?
You’re in the right place! We’ll walk you through this and make sure your event is awesome.
The first and most obvious question is, “What type of event is it?” Some types of events, such as theater productions and music festivals, require superior audio and video equipment quality as well as professional lighting. High-quality stage lighting is essential for theater productions, concerts and large corporate events and trade shows. Business meetings, however, usually rely a little less on big audio or video equipment, and more on projection screens and audio for a smaller room. Lighting for these smaller events is still important, but not quite as huge.
Audio
Many event planners fail to recognize the importance audio plays in a live performance. Even a video presentation relies primarily upon the quality of the audio. No matter whether your event is an artist’s solo performance for a small audience or a major music festival in front of thousands, there are specific pieces of audio equipment, such as amps, speakers and mics, that will bring out the best of the event. Draw out exactly what you need your audio equipment to accomplish – how big is the space? How many people will need a mic at the same time?
Video
Professional video production is a huge piece of any event. What makes a video production so valuable? Isn’t it the fact that so many people thought the event was important enough to attend in the first place? Your video has the potential to reach future generations of audiences. Remember, recording live means there’s no second chance to record it again. It needs to be done perfectly the first time.
As with audio equipment, the video equipment needed varies by event. Cameras, routers and cabling are essential components for many large video events. You’ll likely need projection equipment and power point for a business presentation.
Lighting
In today’s world of high-tech entertainment, there’s no question that lighting plays a larger role than ever. Imagine missing the climax of a dramatic theater production thanks to poor lighting or even poor timing.
The success of some business events, such as meetings or speeches, can depend upon the professional synchronization of lighting, audio and visuals. Effective lighting ensures your event will move along smoothly by engaging and maintaining the audience’s attention.
Now you might ask, “I know I need to use certain components to create a successful event, but how can I put it all together?”

Thanks for the reminder that recording live means there isn’t a second chance to record so it needs to be done right the first time. My husband and I are thinking of hosting conferences and would want to have live AV to record our event. Hopefully we can find a great local business who can help us do so!

It’s awesome that you touched on how important it is to get things like video recording is done right the first time because there aren’t any chances to do it again. My daughter is trying to plan a concert series for her university to raise money for some charities. She needs to find an AV company soon to start making plans on how to throw this event.
